AJFCS only collects information via its web site that is voluntarily submitted related to employment and volunteer opportunities, and requests for information about AJFCS programs and services. Such information may include name, postal and e-mail address, and phone and fax numbers.
At this time, AJFCS does not employ the use of "cookies" on its site, and any user IP logging information collected is solely used in aggregate site traffic reports. No attempt is made to track individual users to the website.
We make reasonable efforts to keep the information you submit confidential. Information submitted for employment or volunteering remains within the Human Resources, the Volunteer Department or other appropriate departments. This information is not shared outside the Agency, and is used internally by those involved in hiring and recruiting decisions. Requests, inquiries or comments/concerns sent via the website are directed to the appropriate JFS individual or program.
Keeping this personal information secure is a top priority for us. Personal information is private and confidential; accordingly, the information provided is stored in a secure location and is accessible only by designated employees.

HIPAA Notice of Privacy Practices
Jewish Family Service takes pride in treating our clients and each other with respect and dignity. Protecting your personal information is as important to us as it is to you. We want you to have a clear understanding of how we use and safeguard your protected health information, and how you can get access to that information.
A federal law known as HIPAA requires that we take additional steps to keep you informed about how we may use information that is gathered in order to provide health care services to you. As part of this process, we are required to provide you with the following Notice of Privacy Practices. The Notice describes how we may use and disclose your protected health information to carry out treatment, payment or health care operations and for other purposes that are permitted or required by law. This Notice also describes your rights regarding health information we maintain about you and a brief description of how you may exercise these rights.
You will be asked to sign the Notice of Privacy Practices Acknowledgement prior to receiving services. If you have any questions about this Notice, please contact your therapist or care manager or the AJFCS Privacy Officer, Dr. Elaine Rotenberg, at 561-684-1991.

Encryption & Outgoing Email
It is a top priority for AJFCS to carefully protect any information that contains Protected Health Information (PHI). We do this in a number of ways, e.g., client files are maintained under lock and key or in a secure electronic database. We only communicate information electronically if you have given your permission. We only give information to another provider with your consent and release of information form.
Email has become the preferred method for both business and personal communication; however, email is not a private conversation. It is possible for others to intercept and read. In order to maintain the confidentiality of private information sent via email, while ensuring compliance with privacy and regulations (such as HIPAA, HITECH Act, GLBA and State Data Security Laws), we are implementing an email encryption service through Zix Corporation, a leader in the electronic communication security. This service will help us protect outbound email containing personal information, such as social security numbers, driver's license numbers and medical information.
Depending on which AJFCS provider you see, email may or may not be an option for you. Please discuss this with your provider.
As of July 1st, 2015, all emails containing sensitive information between AJFCS and you will be encrypted. When an email with such information has been sent to you by AJFCS, you will receive a notification message with instructions to "click here" to open the encrypted email. This button automatically re-directs you to our secure message.
The first time you get an encrypted message you will need to go through a simple registration process. Once your account is activated, you may view the message and any attachments over a secure connection. Because we have implemented the "remember me" feature, subsequent visits will only require a click on "open message."
